Description:

We’re Looking for our Next Awesome Intern!

You will be a key player on the fast-paced, 4-H Canada team as we host 4-H youth members, volunteers and professionals from around the world for the Global 4-H Network Summit in Ottawa this summer. Your creativity and story-telling ability will be showcased through the creation and delivery of event materials, social media, email campaigns and website content leading up to and during the event. You will also help plan and develop materials to support the launch of a global, knowledge-sharing platform.

In this role you will:

  • Help to create/design volunteer and delegate handbook, event signage and other collateral materials as required.
  • Help create content to support the global launch of an online knowledge-sharing platform, 4-H LEARNS.
  • Work across key social media channels such as Facebook, Twitter and Instagram; as well as email marketing campaigns; and Global 4-H Network website (s):
    • Help create content for, and manage, Global 4-H Network digital communications including the website at www.global-4-h-network.com; blog and email communications.
    • Manage Global 4-H Network Twitter and Instagram accounts and post to Global 4-H Network Event Page on Facebook. 
    • Enthusiastically engage with and encourage delegates to share content on social media during the Summit. Support 4-H Canada Communications Coordinator in the execution of the on-site social media during the Global 4-H Network Summit, July 11-14.
  • Help update, consolidate and segment customer lists.
  • Attend Global 4-H Network Summit event and others as required and represent 4-H Canada in a positive light.
  • Other writing and design tasks required to support the Global 4-H Network Summit.
  • Other tasks as required by supervisor.

Qualifications and Skillsets You’ll Bring to the Team:

  • Current student or recent graduate of communications and/or graphic design or related program (within 3 years).
  • Comfortable working with Adobe InDesign and Photoshop, Wordpress, Mailchimp, and various project management and social media platforms.
  • Basic knowledge and experience with HTML coding an asset.
  • A personal drive towards excellence, a positive attitude and desire to make an impact in the world.
  • Strong organization skills and ability to work effectively and accurately on multiple tasks in a fast-paced, team environment.
  • Experience with event communications, including but not limited to on-site social media, minor video and photo editing.
  • Experience working with rural communities, 4-H and/or youth-specific organizations and/or the agricultural sector an asset.
  • Excellent communication skills and proficient in English and French.
  • Canadian Citizen or Permanent Resident (Must be eligible for employment in Canada).

Reports To:      Manager of Admissions

Purpose:          Reporting directly to the Manager of Admissions, the Admissions and Travel Coordinator is responsible for the management of information and program event coordination.  The Admissions and Travel Coordinator will represent 4-H in a positive light to the general public and to all stakeholders.

Responsibilities:

Information Management

  • Supports the Manager of Admissions with the overall application/registration process
  • Ensures all applicant information is entered and accurate across various software platforms
  • Collection and analysis of applicant data for grants, scholarships and program evaluation
  • Provides supports with data collection for analysis, interpretation and reporting

Stakeholder Communication and Service

  • Responds to general inquiries from applicants and provides technical support as needed
  • Ensures that the 4-H Canada on-line registration and application processes are up-to-date, in both English and French, profiling all National opportunities
  • Assists with communication to provinces  regarding National programs and opportunities
  • Communicates key dates and internal status updates with the National office team
  • Provides support to Program Director as needed

Program Coordination and Event Planning

  • Supports the Program Manager with National Program support specifically
    • Manages registrations for National programs
    • Tracks applications for National opportunities and ensures required reporting is received
    • Manages travel bookings for National and International programs
    • Assists with all aspects of conference development, preparation and delivery
    • Assists with all aspects of exchange programs preparation and delivery
    • Develops and summarizes evaluations and common measures reporting for National opportunities

Carries out other duties as determined from time to time by the Manager of Admissions

Qualifications:

  • Preferred degree/diploma in Event and/or Program Management
  • 3 to 5 years’ experience in administrative support and/or an event planning environment
  • Polished and professional, highly effective in time management with superior organizational, analytical and problem solving skills
  • Ability to work both independently and as part of a team in a fast-paced environment
  • Excellent communication and customer service skills
  • Preferred experience working in a youth serving organization and a strong desire to commit to our mission
  • Proven ability in working with a wide range of individuals, committees, organizations and youth
  • Software proficiency in Microsoft Outlook, Access, MS Word, MS Excel, MS Power Point, registration and survey software and database management
  • Bilingualism preferred
  • Ability to travel occasionally and be on-site for programming throughout the year

We’re looking for our next awesome intern!

This 2-part internship opportunity is jointly supported by IICA Canada and 4-H Canada. Part one of the internship will be hosted by 4-H Canada, where you will play a leading role in the development of our global knowledge-sharing platform, 4-H LEARNS. You will gain project management experience by being responsible for the collection of resources, tools, best practice program models, curricula and other 4-H learning materials from more than 70 4-H organizations across the globe. The role will involve outreach to 4-H countries, promotion of 4-H LEARNS as a new knowledge-sharing platform and the collection and organization of resources within web-based platform.

For part two of the internship, you will report to the Inter-American Institute for Cooperation on Agriculture (IICA) Delegation in Canada and be responsible for identifying initiatives and best practices undertaken in the Canadian food sector to reduce food waste and assessing the applicability of the identified practices for adoption in Latin American and Caribbean countries.

Compensation and Internship Terms:

  • The internship runs for a total of 7 months from November 2016 to May 2017.
    • 12 weeks (3 months/450 hours) with 4H Canada in Ottawa
    • 16 weeks (4 months) with IICA Canada in Ottawa.
  • Compensation for this internship is $20,000 (payable upon satisfactory completion of certain deliverables throughout the internship).

Qualifications and Skillsets You’ll Bring to the Teams:

  • Recent graduate of agriculture or science based program (within 3 years).
  • Experience in education, community outreach, rural development, international development or related field.
  • Experience working with rural communities, 4-H and/or youth-specific organizations and/or the agricultural sector.
  • Comfortable working with databases and web platforms.
  • Excellent communication skills and proficient in English, French or Spanish (other languages an asset).
  • Canadian Citizen or Permanent Resident (Must be eligible for employment in Canada).
